How a project works, from quote to handover · Last updated 9 September 2026

Everything here is written plainly so there are no surprises later. If anything doesn't suit how your business works, say so before we start and we'll agree something that does.

Quotes

Every project is quoted as one fixed price, agreed before any work begins. The quote covers what's written in it. If you ask for something outside that once we're underway, you'll get a price for the extra before it's built, never a surprise on the invoice.

Quotes are valid for 30 days.

Deposit

A deposit is required before any work starts. Nothing gets built until it's paid, because the deposit is what reserves your slot and covers the design work that happens before you see anything.

The deposit is non-refundable. If you decide not to go ahead after work has started, the deposit is not returned. That applies whatever the reason, including simply changing your mind.

The balance

The rest is invoiced on delivery and is payable within 7 days of the finished product being delivered to you.

Delivered means the site, system or video is finished and ready for you to use. Where a website or system needs to go live on your own hosting or domain, that can happen once the final invoice is settled.

Monthly retainers

Retainers are available so that changes to your website, CRM or videos are covered without a separate quote each time. New photos, price updates, an extra field, a new section, a refreshed video: it all comes out of the retainer.

A retainer runs month to month. Unused time does not roll forward. That's because standard maintenance is carried out during the month whether or not you've asked for changes: updates applied, forms tested, hosting and security checked, backups verified. You're paying for the system being looked after, not for a bank of hours.

Retainers can be cancelled with a month's notice. Cancelling doesn't affect your ownership of anything already built.

CRMs and applications

A CRM or business application needs ongoing monthly maintenance, so a retainer is required rather than optional. Unlike a brochure website, a system holds live data, connects to other services and gets used every day. It needs someone keeping an eye on it.

I'll also need access to the hosting platform to set it up properly, with Microsoft recommended. That access is used to build, configure and maintain your system, and nothing else. The account stays in your business's name and you can revoke access at any time.

Hosting and domains

Websites are preferably hosted on Cloudflare Pages, which is fast, secure and either free or a few pounds a month for most small sites. If you'd rather use a different provider, that's fine, but I'll tell you honestly if it will make the site slower or harder to look after.

Hosting and domain accounts are set up in your business's name so you own them outright. Where a card is needed to open one of those accounts, you'll be asked for those details at the time and they go directly into the provider's own secure payment form. Card details are never stored or handled by JxD Collective.

Hosting and domain fees are paid by you to the provider and are separate from the project price.

Ownership

Once the final invoice is paid, everything built for you is yours: the code, the design, the content and the accounts it runs on. Nothing is held back and there's no licence to keep paying.

Timescales

You'll get a realistic timescale with your quote. Projects usually slow down for one reason, which is waiting on content, photos or feedback. Get those back quickly and things move quickly.

Late payment

Invoices unpaid after 7 days will be chased. As a UK business, statutory interest and reasonable recovery costs can be applied to overdue commercial invoices under the Late Payment of Commercial Debts (Interest) Act 1998, though in practice a conversation usually sorts it out.
